Inclusive Disability Assist is a registered non-profit NDIS provider responding to the local communities demand for quality disability support services. Situated in Kallangur QLD, they have been caring for individuals all over the Greater North Brisbane region for over three years. Inclusive Disability Assist were using Australia Post cards prior to using Budgetly. This came with several challenges:

Time spent on admin: With the Australia Post cards, the expense process was entirely manual. Whenever they needed a new card, they required a new user, new email address and this meant that they could not see everything all in one place with one login. They spent so much time logging in and out not to mention the time needed to reconcile the cards was a nightmare. There was also so much time wasted going back and forth from the post office.

Tracking and chasing receipts: Receipts were a very hit and miss type process. Having the cards was a step up from petty cash but still produced problems. There was nothing built in to help with receipts.

No real-time visibility: The staff could log in to view transactions on each card but it was so fiddly as there was no centralised database for them to access.

Inclusive Disability Assist can issue cards instantly for staff who need to make purchases and can freeze or cancel them at the click of a button. The mobile app prompts staff to upload their receipts as soon as they tap their card and all transaction information is available in the real-time dashboard.

How Inclusive Disability Assist removed tedious admin work by using Budgetly!
Budgetly prepaid corporate debit cards are available in physical and digital formats, with virtual cards available instantly upon application. Staff can add Budgetly’s virtual cards to their mobile wallets and use them immediately in any location.
With Budgetly’s preloaded cards, Inclusive Disability Assist staff can transact, capture their receipts using a smartphone, and upload them to the app. In addition, Budgetly’s expense management software automatically records transaction details such as vendor names and transaction amounts.
Support staff can also add notes to each transaction and assign them under categories and tags set by finance teams. This allows the team to easily filter and view relevant transactions based on tours or expense categories.
Finance teams can allocate budgets for each card and set spending limits to avoid overspending. Additionally, these budgets can be automated to reset or roll over every fortnight.
