Hunt & Dixon Surveys used debit cards from the bank and a fuel card system prior to Budgetly, which came with several challenges:

Challenges

• Chasing receipts: Using debit and fuel cards meant that receipt collection was an entirely manual process, with frequent missing receipts – which was time-consuming and frustrating.
  
  

• Distributing funds to staff: Topping up the fuel cards was tedious as it had to done one by one and therefore, was not a scaleable process. Only the two directors had access to the bank account debit cards; providing cards to the wider staff would give full access to the entire bank account balance, rather than a controlled budget.
  
  

• Lack of support: The bank tried to encourage a move towards a credit solution, however this would mean that every employee would need to sign up and submit their credit file for checks. Hunt & Dixon Surveys felt like the bank was trying to push them into a solution for a much bigger business without listening to their exact needs.

1. No more chasing receipts!

The debit cards and fuel cards that Hunt & Dixon Surveys used previously never had a receipt capture app. They were very happy with Budgetly's app that makes it so easy for staff to upload receipts at the point of purchase, including sending a notification. The receipt and transaction information is then instantly available for the finance team to review.

How Hunt & Dixon Surveys stopped waiting on banks and saved six hours a week by using Budgetly!

Budgetly prepaid corporate debit cards are available in physical and digital formats, with virtual cards available instantly upon application. Staff can add Budgetly’s virtual cards to their mobile wallets and use them immediately in any location.

With Budgetly’s preloaded cards, Hunt & Dixon Surveys team can transact, capture their receipts using a smartphone, and upload them to the app. In addition, Budgetly’s expense management software automatically records transaction details such as vendor names and transaction amounts. 
           

Support staff can also add notes to each transaction and assign them under categories and tags set by finance teams. This allows the team to easily filter and view relevant transactions based on tours or expense categories.
