Overview
Earth Markets® is a Southeast Queensland owned and operated by passionate foodies with years of industry experience. Earth Markets have five accounts in total, one for the head office (senior leadership) and four for the individual stores. Each location came with it’s own challenges managing expenses.
Prior to Budgetly, each store manager had a bank card and would often take money from the till to buy essential, smaller items. The Earth Markets head office had it’s own challenges with attempting to manage recurring subscriptions, and larger purchases for the stores such as maintenance or repairs.
Challenges

Petty cash: Having store managers handling petty cash comes with inherent risk – cash can be easily misplaced and reconciliation can reveal amounts are unaccounted for; creating a whole process that is incredibly tedious and manual for the Earth Markets team.

Time spent reconciling: Using a combination of petty cash and bank cards, with not automation, required a time-consuming, manual process to feed everything into the Earth Market's accounting software.

Tracking receipts: Petty cash across four individual store locations meant that the receipt tracking and collection process was a lot of work. Store employees needed frequent reminders and receipts were often not easy to find, so reconciling them to individual transactions was more difficult.

How Earth Markets saved hours of time on finance admin and reduced stress for their employees!
Budgetly prepaid corporate debit cards are available in physical and digital formats, with virtual cards available instantly upon application. Staff can add Budgetly’s virtual cards to their mobile wallets and use them immediately in any location.
With Budgetly’s preloaded cards, Earth Markets employees can transact, capture their receipts using a smartphone, and upload them to the app. In addition, Budgetly’s expense management software automatically records transaction details such as vendor names and transaction amounts.
Support staff can also add notes to each transaction and assign them under categories and tags set by finance teams. This allows the team to easily filter and view relevant transactions based on tours or expense categories.
Finance teams can allocate budgets for each card and set spending limits to avoid overspending. Additionally, these budgets can be automated to reset or roll over every fortnight.
